Service Description
Our offices and meeting hall are available for use by individuals, partner organizations, NGOs, community and youth groups, and other mission-aligned institutions. The venue is well suited for meetings, small workshops, strategy sessions, and team discussions. 2. Hall Specifications Capacity: Accommodates up to 20 participants. Furniture: Equipped with a large meeting table and flexible seating arrangement. Lighting & Ventilation: Bright, well-ventilated space with a ceiling fan for comfort. Accessibility: Conveniently located with nearby parking and an outdoor rest area adjacent to the hall, Kitchen. 3. Available Facilities - High-speed Wi-Fi and a large TV screen. - Whiteboard with markers. - Multiple power outlets for laptops and other devices. - On-site support staff available for assistance. Please note: Catering (tea, coffee, refreshments, breakfast) and stationery must be arranged by the booking requester. 4. Usage Schedule Available days: Monday to Friday (Weekend bookings may be arranged upon request, subject to approval). Standard Hours 8:00 AM to 4:00 PM East Africa time. 5. Reporting & Documentation To support visibility and accountability, organizations using the meeting hall are required to share documentation of their activities with YCON. This includes: A minimum of 3–5 clear photos from the event. A short summary of the activity conducted. All materials should be submitted within 3 working days after the event via email to info@ycon-sudan.org. These may be used for internal reporting or external communication, with due respect to participants’ privacy.
Cancellation Policy
5. Guidelines of the Use of YCON Office Meeting Hall by booking requester 5.1 Purpose of Use The meeting hall may be used for individuals, nonprofit, community-based or humanitarian, youth groups and networks purposes only. All activities must align with YCON’s mission and principles of neutrality and tolerance. Meetings must not promote any form of violence or discrimination. 5.2 Prohibited Content & Topics To protect our neutrality and create a safe, inclusive environment for all, the following are strictly prohibited: 1. Hate speech, any form (racial, ethnic, religious, gender-based, or otherwise). 2. Political party promotion or violence. 3. Political campaign or endorsements of any political party or figure. 4. Special agendas opposing any party in the current conflict/war in Sudan. 5. Militarized or security-focused discussions that may compromise safety or neutrality. 6. Religious proselytizing or exclusive events that are not inclusive to all. 5.3 Respect for the Facility The space must be kept clean and organized. All users are responsible for the security of the premises during their use. Food and beverages must be consumed responsibly, and smoking is not permitted inside the meeting space. Please ensure that all equipment (screens, whiteboard, etc.) is turned off or cleaned after use. 5.4 Attendance & Conduct 1. A list of expected participants may be requested prior to and at the end of event. 2. All attendees must conduct themselves respectfully and professionally. 3. Attendance is allowed for staff staying in Uganda (ID Cards, Stay Visa, or Resident document required). 4. All must follow safety and security rules. 5.5 Compliance with YCON Policies All users of YCON’s spaces and their participants must adhere to YCON’s internal policies and ethical standards, including but not limited to: YCON Anti-Corruption and Fraud Prevention Policy YCON Anti–Terrorism and Counter-Terrorism Financing Policy YCON Policy on Prevention of Ethical Misconduct and Compliance Regulation YCON Prevention of Sexual Exploitation and Abuse Policy Ugandan Laws and Regulations By using any of YCON spaces, all organizations agree to uphold these principles and ensure that all activities, participants, and partners comply with these standards of integrity and professionalism. Organizations and individuala must review and understand all applicable YCON policies prior to the event.
